Consultation Policy

At Uroha, every custom fragrance begins with a conversation. Our consultation service is designed to create fragrances that feel personal, intentional, and uniquely yours. Whether you're interested in a custom perfume, linen + room spray, or fragrance for your waterless diffuser, this consultation allows us to understand your preferences before beginning the creative process.

Booking your consultation

• Consultations are 45-minute private, one-on-one sessions conducted virtually.

• Appointments must be scheduled through our online booking calendar.

• A confirmation email containing your appointment details and meeting link will be sent after booking.

• Reminder emails may also be sent prior to your appointment.

Cancellation + rescheduling

• Consultations may be cancelled online up to 12 hours before the scheduled appointment for a full deposit refund.

• Consultations may also be rescheduled online up to 12 hours before the scheduled appointment.

• Requests made within 12 hours of the scheduled meeting cannot be guaranteed and should be made by contacting us directly.

• Repeated late cancellations or missed appointments may affect future booking availability.

Consultation fee

• If you choose to charge: The consultation fee will be applied toward your final custom fragrance purchase should you decide to move forward.

• If complimentary: Consultations are complimentary. Product pricing will be discussed during your appointment.

What we'll discuss

During your consultation, we'll take time to understand your fragrance preferences and creative vision.

Topics may include:

• Fragrance families you naturally gravitate toward

• Perfumes or home fragrances you currently enjoy

• Fragrance notes you love—or prefer to avoid

• Memories, emotions, or spaces you'd like your fragrance to evoke

• Intended use for your fragrance (personal wear, home, bedroom, office, etc.)

• Desired fragrance strength and overall style

• Whether you'd like to customize one of Uroha's existing fragrances or create something entirely original

The custom fragrance process

• Begin with a personalized consultation to discuss your preferences and inspiration.

• Choose between customizing one of Uroha's existing fragrances or creating a completely original scent.

• Receive up to three (3) 10 mL fragrance samples to experience and compare.

• Share your feedback so refinements can be made if needed.

• Once your fragrance is approved, production of your final product(s) begins.

What's included

Every consultation includes:

• One 45-minute private consultation

• Personalized fragrance guidance

• Creative direction based on your preferences

• Development of up to three (3) 10 mL fragrance samples

• One refinement based on your feedback before final approval

Sample revisions

• Your consultation includes up to three (3) 10ml fragrance samples.

• 2 or more rounds of samples or significant fragrance revisions may require an additional development fee.

• We encourage clients to thoroughly test each sample before providing final approval.

Pricing

• Pricing varies depending on the product type, fragrance complexity, and order quantity.

• Final pricing will be discussed during your consultation once the scope of your project is understood.

• No production begins until pricing has been approved.

​

Turnaround time

• Custom sample development typically takes 4–6 weeks following your consultation.

• Existing samples typically take 1-2 weeks following your consultation.

• Once feedback has been received and your fragrance has been approved, production of your final order will begin.

• Larger or more complex projects may require additional time.

​

Late arrivals

• Please arrive on time to make the most of your scheduled appointment.

• Clients arriving more than 10 minutes late may receive a shortened consultation or be asked to reschedule, depending on availability.

​

No-shows

• Clients who do not attend their scheduled appointment without prior notice will be considered a no-show.

• Consultation fees, if applicable, are non-refundable in the event of a no-show.

• Repeated no-shows may require advance payment for future appointments.

Meeting platform

• Consultations are conducted virtually via Google Meet.

• Your meeting link will be included in your confirmation email after booking.

Preparing for your consultation

To make the most of your appointment, we recommend:

• Joining from a quiet environment

• Having any favorite perfumes or fragrances nearby

• Bringing inspiration images or mood boards, if applicable

• Thinking about the feeling, atmosphere, or memories you'd like your fragrance to capture

Communication

• Please provide accurate contact information when booking.

• We'll use your email to send appointment confirmations, reminders, meeting links, sample updates, and follow-up communications related to your project.

​

Custom products

• Because every custom fragrance is created specifically for you, all custom products are considered final sale once production begins.

• Returns, refunds, or exchanges cannot be accepted after final approval.

• We encourage clients to carefully evaluate all fragrance samples before approving production.

​

Intellectual property

• All custom fragrance formulations, blending methods, and creative concepts developed by Uroha remain the intellectual property of Uroha unless otherwise agreed to in writing.

• Purchasing a custom fragrance does not transfer ownership or exclusive rights to the underlying formulation.
